Traditional events are any NON Grassroots events in any sports division.
Grassroots events are those specifically offered on the sanction application as
Grassroots in any sports division. AWSA Novice class is included in Grassroots
but is distinct from Grassroots "3 event" A separate entry fee may be assessed
for Grassroots 3 event and for each Novice event
offered.
There are several patterns typically used to assess entry fees.
- Flat rate for the tournament
- Fee determined by the number of events entered.
- Fee determined by the number of events entered and the class of the event entered
- Pick and choose format where the fee is determined by Class of each round entered.
The Wizard allows the LOC to specify parameters which will assess the fees for all these formats.
The Wizard "knows" everything you entered on the sanction form. It sets up all
the options you need for the tournament type you are offering.
It also fills in information from the sanction form where appropriate.
Examples of the various tournament types are presented below with
an explanation of how to set up the fees and other fields for each type.
They are listed from simplest to most complex. The explanation is progressive so
even experienced organizers will benefit from browsing the first example
below before proceeding./p>

The form presents droplists to assess 3 separate fees for 1, 2 or 3 events respectively.
The entry fee is dependent on the number of events entered.
If the skier enters 1 event the fee in the first droplist is used.
If the skier enters 2 events the fee in the second droplist is used.
If the Skier enters 3 events the fee in the third droplist is used. |
| Family Entry:If you offer a special fee for family members enter the total fee per family here.
If an entrant specifies family entry on their entry form the first entrant is charged the entire family entry fee and any
family entry received after that is qualified as a family member by referencing the HQ membership database. |
| Pulls: |
Maximum Pulls: determines the entry limit for the tournament.
A pull is one scoring opportunity. For example: A slalom skier entering 3 rounds counts as 3 pulls.
Total pulls for all entrants is tracked and when the Max Pulls number number is reached
the tournament is marked FULL and no more entries will be accepted. |
| Reserved Pulls: is the number of pulls the LOC reserves for its own use.
Maximum Pulls available to the public is reduced by this number. Use this to insure that
your officials and club members can not be locked out of your tournaments. In this example if you wanted
to reserve entry for each of your 5 chief officials you would put 5 in the Reserved Pulls droplist.
75 pulls would remain available to the general public. |
| Reservation Code is used to indicate what entrants are counted against the Reserved Pulls number.
Give this code to the people who will be guaranteed entry and instruct them to put it on their entry form. |

| Late Fee, Late Date, and how late fee is applied (once or per day) are set in the Sanction Application.
They appear here for informational purposes.
If you want to change any of these values you have to submit the change for approval
in the Online Sanction System. |

This example describes the setup for tournaments offering multiple classes and combinations of traditional and Grassroots events.
Terminology:
- Base Fee - the lowest fee charged for a traditional event (Typically a Class C event).
- Base Class - the lowest traditional class offered in any event (Typically Class C).
- Surcharge - an amount which is added to the Base Fee when a higher Class is entered.
Form Setup:
Enter the fees in Traditional Events 1 - 3 as you did for the single class tournament using the fee for the LOWEST traditional class offered.
Notice that a new Class Surcharge area has appeared on the right side of the form.
Enter an amount in the Surcharge droplist which when added to the base fee in the droplists on the left will add up to the fee you want for the higher class event.
Enter the Family fee if you are offering one.
Enter the fee for the Grassroots event.
If a grassroots entry is included with the traditional entry fee mark the checkbox under Fee Adjustment Options.
Entry Fee Calculation:
- Determine the number of traditional events the skier is entering. This determines which of the traditional event fees will be used as the Base Fee(1, 2, or 3).
- Check the class entered for the first event.
If entered Class C - charge the Base Fee.
If a higher Class is entered - charge the Base Fee plus the surcharge.
The result is the subtotal for the first event.
- Repeat this calculation for each event offered
- Add the subtotals for each event entered to get the Subtotal for the traditional events.
- If the Grassroots event is entered - charge the fee in the Grassroots Event 1 droplist.
This is the subtotal fee for the Grassroots events.
(If more than one Grassroots event was offered you would select the Base Grassroots Fee by the number of Grassroots events entered).
- Add the Traditional subtotal to the Grassroots Subtotal to get the Total Entry Fee
- Apply any discounts that the entrant is qualified for.
- The result is the Final Entry Fee

| If the format is 3 event pick and choose there will be a fee to enter for each pull
up to 3 pulls. The skier is charged the amount you enter for pull 1 + pull 2 + pull
3. If more pulls are entered the fee for 3 pulls is added again for each additional
pull.
If the tournament has multiple classes like 3 event C,E,L,R a new section of the form will display offering class surcharges. In this scenario the entry fee
is calculated per pull with the Class Surcharge added if it applies. |
LOC wants $15 for Class C and $60 for E, L, or R events.
Base Class is Class C Set the fee droplists as follows:
1 Event Base Fee = $15
2 Events Base Fee = $15
3 Events Base Fee = $15
Surcharges for E, L, and R are set to $45.
Skier enters Class C Trick, Class E Slalom and Class R Jump
Skier is entering 3 events so the Base fee for 3 events is used ($15).
Slalom Class E event fee is $15 + $45 = $60
Trick Class C event Fee is $15 (no surcharge for base class)
Jump Class R is $15 + $45 = $60
Total entry fee = $60 + $15 + $60 = $135. |
Discounts options are cumulative and maximum. If you select cummulative each
discount is calculated and subtracted in turn from the Entry fee. If you select
Maximum, only the largest discount for which the skier is elligible is applied.
Officials Discount - Entrant is required to state on the entry form that he is a
Chief or Appointed official to receive the discount.
Club Code - is a tournament specific 5 character code which clubs can use to give their members special discounts. The club member must enter the correct code
on his application to qualify.
Reservation Code - is a tournament specific 5 character code which designates which
entries apply to the Reserved Pulls list. The club gives the code to
the entrants it wants to fill the reserved spots. The code must appear on
the entry form.
